Good evening ladies & gentlemen.
I know, I know, one week overdue & my name is not Simon; that's what we call an anomaly in the data world. My sincere mea culpa, last week was a hectic one.
That said, I'm changing the format for this week (and maybe for weeks to come as well). It's less about what we did this week & more about how we did it. In short, I'll spotlight some of our most used software tools. And this week it's about… drumroll please... Notion!


Notion. A fancy place to document sh*t

All jokes aside, Notion, for us, is what a shared folder structure with Word & Excel documents is for a more conservative business. And don't get me wrong; we also have a OneDrive on which we share files. However, when it comes to documenting, note taking, and proposal creation, we have one goto place → Notion.

So what makes Notion an excellent tool to use?

It’s like Wikipedia, but for your company.

  • Where do you go when you want to know how tall the empire state building is? Wikipedia
  • Where do you go when you want to know who the hell Pete Davidson is and how many celebs he has already dated? Wikipedia
  • Where do you go when you want to know what ablutophobia is? Wikipedia

Now take these examples into a company context:

  • Where do I find the meeting notes of last month with client X? Notion
  • Where do I find the brand book of our company with social media templates? Notion
  • Where do I find an overview of monthly recurring expenses?Notion.
  • Where do I keep a list of cool tools to use when working on a project?Notion⬇️

Your company your structure

Above, you can see how our kaffie space is structured. Now, we like to keep things simple, so our structure is more or less… simple.
However, Notion lets you be very creative & able to create fancy dashboards & structures. And that's the thing. Notion is like lego. You get some building blocks & it's up to you to create & organize your own space.

Templates & databases


First off, let's talk about templates. Your Notion's templates are essential to make repetitive tasks less time-consuming. For example: making a proposal for a client. You'll probably make them multiple times each month.
With Notion you make a proposal structure & template once and then reuse this template each time you need to create one. That way, you don't have to copy-paste things or, even worse, reinvent the wheel.

Now onto the real MVP of Notion, the databases. These bad boys are like Excel but fancier and a bit more functional. Databases are used when you want to keep track of structured information like lists of tools that are interesting, lists of clients, lists of deals you've made, lists of… And with the power of linking and filtering, you can cross-reference and organize your databases like a boss.
